Responsibilities

  • Manage CEO's daily schedule while also prioritizing his requirements.
  • Engage with CEO to understand daily requirements and secure all appointment dates/times and coordinating all aspects of visits including preparing for and receiving visitors.
  • Act as the gatekeeper for incoming calls and messages to ensure privacy and prioritization.
  • Arrange CEO's, VP's itineraries when planning for and booking flights, car rental and hotel accommodations and meeting arrangements.
  • Complete expense reports for reimbursement after the trip for the CEO and Executives.
  • Review all emails to identify priority actions and follow-through on outstanding actions.
  • Prepare and finalizing written materials and corporate presentations.
  • Finalize the business development pipeline reports.
  • Prepare & coordinate all lunch and dinner meetings with the CEO and clients.
  • Provide administrative guidance to CEO and Executives as requested.
  • Organize all the CEO's documents in an efficient system.
  • Reserve conference rooms and arrange catering if requested for critical meetings.
  • Coordinate & detail planning of the corporate holiday event
  • Manage all mail, shipping and ordering of any supplies needed by the CEO.
  • Maintain a professional, and positive attitude at all times.
  • Any other administrative duty as assigned.

Qualifications

  • 5-8 years of experience as an Administrative Assistant or as an Executive Assistant.
  • Bachelor's degree or additional experience in lieu.
  • Strong time management skills and ability to coordinate and prioritize projects and assignments with little supervision.
  • Must be self-directed and detail oriented in completing assigned projects and tasks
  • Strong interpersonal and listening skills; the ability to think ahead, take initiative, and stay up-to-speed with constantly shifting priorities.
  • Excellent organizational skills, and attention to detail.
  • Must provide prompt, courteous, and professional service.
  • Able to maintain absolute confidentiality in all business and personal matters.
  • Ability to compose, write, edit, and proofread a variety of internal and external general business correspondence, memoranda, proposals, presentations, and report management.
  • Experience with Microsoft Office Suite required.
  • Able to contribute to a professional work environment by demonstrating integrity, promoting teamwork, and fostering positive communication while balancing team priorities.
  • Able to work effectively in a deadline, oriented environment is essential.
  • Maintain flexibility to provide support before and after core work hours, especially when the Executive is traveling.
  • US Citizenship is a must.
  • Must be able to obtain & maintain an active security clearance if requested.
